How software robots reduce workload & increase quality within the mental health system

5,300+ hours of time saved per year

9 processes automated

3 employees trained as RPA Developer
For GGD Regio Utrecht, software robots are a real gamechanger. The organization wants to be better prepared for a possible next Covid19 pandemic and also wants to become more agile anyway. Therefore, since early 2022, Robotic Process Automation(RPA) technology has been used to automate manual processes.
Coping with staff shortages and reducing workloads
By deploying RPA, GGDrU can already respond faster to unexpectedly high workloads, e.g. due to a new peak in the number of COVID-19 infections. This also applies to regular processes, e.g. within the Youth Health Care (JGZ) department. The mounting shortage of doctors and nurses is increasingly threatening to become a problem. By deploying software robots, the organization can now “give hours back” to staff, as it were. So that they can focus on the primary process. For example, RPA is now also being used to reduce the administrative workload at the start of a new school year, which is traditionally a very busy period within GGD.
“At GGDrU, we recently deployed software robots to help us on our way to pandemic preparedness, streamline our operations and be more strategically agile.”
Carola Koper | Director GGDrU
More time to focus on quality care
By automating administrative tasks, GGDrU can work more efficiently and at the same time better meet the high quality requirements set for the work of the GGD. Think of the timely transfer of files to chain partners, or additional checks required on the accuracy of (personal) data. With

“Because of our new colleague (Wally the software robot), we have much more time to pay attention to the quality of our work. He works super fast and consistently. As a result, we have much more time left to deal with other matters.”
Thijs Letter | Data employee
How are GGDrU employees reacting to the arrival of their new digital colleagues?
Employees at the GGD have responded enthusiastically to the arrival of Wally and Evi. By automating 9 processes, such as filing healthcare emails, processing enrollments, handling “stoppers” lists, checking student lists and recording COVID-19 test results, many repetitive tasks are taken out of their hands.
To ensure that employees are prepared to work with their new digital colleagues, Tacstone Technology provided a number of RPA training courses. Employees were trained to develop their own software robots (RPA Developer) and monitor existing software robots (RPA Supervisor).
This is what employees say about RPA
“I am very happy with our new virtual colleague who supports client administration. It is the most ideal colleague who never takes breaks, never has to go to the toilet and also works at night. Because the software robots support us, my colleagues and I can pay attention to the further development of processes, so that, for example, files are processed faster.”
Patricia van den berg | Senior Employee Service Center
After JGZ now software robots at Finance
There is much enthusiasm for expanding Wally & Evi’s range of tasks. Besides automating a number of additional tasks within the JGZ department, the digital employees will also start working within Finance. Think, for example, of preparing and sending sales invoices, or checking incoming invoices. Automation of these tasks will also reduce the workload in this department, and give time for other work.
Digitization of care
Thanks to Robotic Process Automation, GGD Regio Utrecht has been able to make great strides in the digitization and automation of healthcare. A win-win situation for employer, employee as well as the inhabitants of the region.
